Assistant Project Manager

SUMMARY

The Assistant Project Manager supports assigned Project Managers, ensuring alignment with schedule, budget, and quality standards. This role contributes to procurement, buyout, RFIs, submittals, and change management, helping to mitigate risk and maintain momentum throughout the project lifecycle. The position takes ownership of assigned scopes, maintains consistent communication across project teams and trade partners, and plays an active role in field coordination and documentation.

 RESPONSIBILITIES

  • Assist with quantifying costs and risks during bidding while supporting buyout activities through negotiating terms, completing small scope buyouts, and tracking cost changes from plan updates
  • Coordinate and document mockup processes with trade partners, the architect, and owner to ensure design alignment and issue resolution
  • Assist the Project Manager (PM) with procurement and take ownership of assigned scopes by verifying subcontractor scope coverage, readiness, and documentation prior to contract execution
  • Ensure subcontracts are executed with insurance and bonds in place before onsite work begins
  • Support the PM in ensuring permits and mandatory notices are in place before job site work starts
  • Prepare and submit clear RFIs while managing the full RFI lifecycle from drafting to implementation, ensuring accuracy, tracking, and timely resolution
  • Manage the submittal process by assembling packages, tracking long-lead items, escalating delays, and coordinating delivery of physical samples for approval
  • Build and maintain strong relationships with owners and subcontractors to help manage field operations
  • Maintain communication with field teams and subcontractors while ensuring transparency through project changes, submittal coordination, and updated documentation in Procore
  • Organize and lead OAC meetings by preparing agendas, discussing RFI and submittal status, and documenting schedule or workmanship concerns during site visits
  • Validate subcontractor and vendor change orders while supporting the full change management lifecycle by identifying impacted scopes, collecting and validating pricing, and tracking in Procore
  • Oversee monthly pay applications from preparation to collection
  • Maintain organized electronic and physical project files while managing project logs such as the Finish Matrix to support warranty and closeout
  • Conduct regular job site visits to monitor safety and quality, conduct project walks with the field team, verify installation of approved materials, and coordinate issue resolution
  • Travel up to 35% to assigned projects 

  REQUIREMENTS

  • High school diploma or equivalent
  • Minimum of 2 years of related construction management experience directly supporting a Project Manager or Project Superintendent, including at least 1 year of field experience
  • Working knowledge of construction documentation, submittals, RFIs, and change order processes 
  • Proficiency in Procore or a similar project management platform
